ADD ROLE | MODIFY ROLE | EDIT ROLEDELETE ROLE | COPY ROLE | RESTRICT HRSUBMENUS

A "Role" identifies a specific set of permissions that provide users with access to the Careficient application.  Examples of roles include:  Billing Specialist, Quality Assurance, Scheduler, Intake Coordinator, Office Manager, Point of Care - Clinical, etc.  Careficient provides a set of standard roles that you can assign to individual users.  Each role has a specific set of permissions related to that role.  Based on user responsibility, you assign a role to an individual user when you set up their security access.  If the standard set of roles do not meet your needs, you can create new roles or change existing roles as necessary to accommodate your users responsibilities.      

You can  display a list of Roles that have been set up and are in use in your organization.  Existing roles display the number of users attached to each role along with the ability to see users attached to each role.  You also have the ability to edit role descriptions, view permissions attached to a role as well as delete a role that has not been assigned to any user(s).  Use the Permissions icon for each role listed to determine what the associate will be able to access and do.  When the permissions section displays for the role you selected, Use "fold/unfold" features to display/hide the individual items associated with each module/category

Use check boxes within each major system module (i.e., Resources Management, Reports, Patient Management, Accounts Receivable, Processes, Dashboard, Settings) to grant associate access to subcategories within that module. Use check boxes associated with items within a subcategory to grant user access to certain subcategory items.  

Use the following path to add/edit a role: Settings > Security > Roles

This takes you to the Roles.  Here you can view the users assign to the role by clicking on the number link to the right of the role.

Here you will see the users assigned to the specific role.

ADD ROLE <returntomenu>menu ↑<returntomenu>

To add a new role, select the <icon-greenplussign>xxx<icon-greenplussign> <udl-orange>Add Role<udl-orange> link.

When you give a user access to Careficient, the application automatically gives that user all the permissions attached to the "Associate HR" role, letting them access their Associate file information. There are some situations when you do not want a user assigned to a specific role to be able to access their Associate master file. Examples of roles that should not have this access include: Auditor/Surveyor role; outside contractors; external coding service, etc. To eliminate the automatic assignment of the Associate HR role, select "Restrict HR" checkbox <icon-bluecheck>xxx<icon-bluecheck>.

Enter the required information and select <btnw>   Save   <btnw> when finished.

MODIFY ROLE <returntomenu>menu ↑<returntomenu>

To assign privileges to the role, select the View Role Function <icon-sse>xxx<icon-sse> icon.  You will see a list of all privileges within the Careficient application.  Select the check box to the left of the privileges you would like to assign to the role. Select <btnw>    Save   <btnw>.

EDIT ROLE <returntomenu>menu ↑<returntomenu>

If you select the Edit Pencil <icon-editpencil>xxx<icon-editpencil> to the right of the role, this will take you to the role privileges where you can edit the role name and description.

Make the necessary changes and select <btnw>   Save   <btnw> when finished.

DELETE ROLE <returntomenu>menu ↑<returntomenu>

Select the Trash Can <icon-trashcan>xxx<icon-trashcan> icon to delete the Role

COPY ROLE <returntomenu>menu ↑<returntomenu>

This option is only available to Careficient Users. Select the Copy Role To Org Icon to copy the role to another agency.

Choose the agency you want to copy the role to and select <btnw>    Copy    <btnw>

RESTRICT HR <returntomenu>menu ↑<returntomenu>

When you give a user access to Careficient, the application automatically gives that user all the permissions attached to the "Associate HR" role, letting them access their Associate file information.

There are some situations when you do not want a user assigned to a specific role to be able to access their Associate master file. Examples of roles that should not have this access include: Auditor/Surveyor role; outside contractors; external coding service, etc. You can now identify specific roles that will not automatically include these permissions.  

You can update specific roles to eliminate the automatic assignment of the "Associate HR" role selecting the Restrict HR access checkbox. If a user has one of these roles, they will no longer have access to the Associate information unless their specific role includes Associate, Associate Availability, and/or Associate Documents permissions.

Note:  The Administrator Role has every privilege available in the Careficient Application.
